Hi,

I am Ruksana, looking after canteen maintenance and cleanliness. Can anyone help in drafting a letter? Our canteen contractor is not keeping his canteen clean; we are getting cockroaches and other insects in our lunch. Secondly, the quality of the food is not good; tasteless food is being prepared. After giving several warnings, he has not improved the standard of food and cleanliness. I want to change the canteen contractor and hence need to put up a note for approval to the boss, stating that since quality and cleanliness are not maintained, we intend to change the contractor.

Get your contractors contract and detail where he is falling down. Give him 7 days to rectify the matter or you will dismiss him and sue for breach of contract.

It is also important to give a show-cause notice or opportunity to defend oneself as to why such action (cancellation) should not be taken against him. A sufficient notice period or time should be given to reply or defend oneself.
