Dear Seniors,

This is Rajendra, am working as an Asst.HR with a Manufacturing firm. I have joined this company in the month of October11. We have got registered one more company under PF with in the same group. We are using one software for payroll process. HR person, who was working in my place before didnot separate the names of other firms' employees(say 15 members) names from the software.

From October on wards I have been genarating the challans directly from the software in which it is calculating the other fifteen employees deductions also. And am preparing separate challans manually for these fifteen employees (of newly registered firm). I have realized about this issue while preparing the challan for the month of January12. So I just removed those deductions and made challan manually. I have submitted challans for three months i.e. Oct, Nov & Dec11 including these 15 employees deductions also. But we didnot submit thier names as per our records.

My question is does this show any effect on the annual return? Please guide me. There was nobody to explain and handover me the responsibilities at the time of my joining. It took four months for me to get a clear understanding about HR processes in the company.

Dear Rajendra,

Your pay roll software got provision to calculate salary & PF as separate companies ? If it is possible you reprocess these months' pay roll and generate PF reports separately for these months and see whether there is any differences. If not possible = one more option, If you have Tally ERP-9 software use this SW for pay roll/PF processing for Company No.2. Which would give a solution.

R U remitting thro manual challans or online.

Re. Annual Return, you study how the monthly returns were filed. Understand and shortlist what mistakes were committed then revert for solution.

The Employees Provident Fund Organisation (EPFO) that has taken steps for total computerisation to improve subscribers and employers, has developed e-return software in order to simplify the filing of various returns by employers. The tool and the user manual, guidelines for filing e-return are available at the EPFO website EPFO,

Employers of establishments covered under EPF and MP Act should henceforth download the software and file all monthly returns electronically from April 2011 onwards. The annual returns in form number 3A for 2011-12 should also be filed before April 30 using the software along with a hard copy of form number 6A in order to upload the member balance and issue the annual statement of accounts expeditiously to the subscribers."
