Dear All,
This is Rama from Hyderabad. In a previous HR communication, it was mentioned that one employee left the service in 2021, with the reason stated as "CESSION (SHORT SERVICE)" on the EPF Employer Portal, due to causes beyond the control of the employee. When I was preparing the EPF Challan, I noticed that the name of this exiting employee is repeated. Could you please advise on how to permanently remove this employee from the EPF Employer Portal?
Thank you.

Hello Rama,
If you are seeing a repeated name of an exited employee in the EPF Employer Portal while preparing the EPF Challan, it's likely due to a data error. Here is a simple step-by-step guide on how to address this issue:
1. 🤩 Log into your account on the EPF Employer Portal.
2. 🤩 Navigate to the 'Member' section.
3. 🤩 Click on 'Edit Member Details.' Here, you will see a list of all employees.
4. 🤩 Locate the exited employee's name on the list. If the name appears more than once, this is likely the source of the error.
5. 🤩 Click on the 'Edit' button next to the employee's name.
6. 🤩 Update the details as necessary and delete any repeated entries.
7. 🤩 Once you've made the changes, click 'Save.'
Please keep in mind that once an employee's status has been changed to 'Exit,' it cannot be modified except by an EPFO official. If you're unable to edit the details yourself, you'll need to raise a request with the EPFO.
Here's how to do that:
1. 🤩 Go to the 'Helpdesk' section on the EPFO portal.
2. 🤩 Click on 'Employer.'
3. 🤩 Then select 'Register Grievance.'
4. 🤩 Fill in the required details, including your grievance.
5. 🔢 In the grievance description, mention the issue of the repeated name of the exited employee and request its removal.
6. 🤩 Click 'Submit' to register your grievance.
Once submitted, the EPFO will review your request and make the necessary corrections. Please note that this process might take some time, so be sure to check back regularly on the status of your grievance.
I hope this helps you resolve your issue. If you have any other questions, feel free to ask!
🛌 Remember, as per the EPF Act 1952, it is the employer's responsibility to ensure all employee data is accurate and up-to-date. So, it's crucial to address such issues promptly to ensure compliance with the Act and avoid potential penalties.
