Hi, I wanted to understand how to take care of mobile reimbursement for employees. We are a new organization, and we have provided an official SIM card to employees for office work. Currently, we have a fixed postpaid plan and pay the bill every month. However, can this be done in a better way, such as allowing employees to claim the bill by filling out a reimbursement form each month?

Please guide and share your input on incorporating a mobile reimbursement policy.

Dear Pallavi Satpute, If you have allotted the SIM cards to the employees, then the SIMs must have been registered against the company's name. In that case, where is the question of the payment of mobile allowance?

Choose an appropriate plan as per designation.
As such, domestic calls, national roaming, SMS, and a certain amount of mobile data are free. For every plan, there are fixed charges. If you receive a mobile bill that is over and above the fixed charges, you need to raise the debit note against the employee.

Inform employees about plan benefits and excess charges.
You need to apprise the employee about the plan benefits and issue a letter to him that excess charges will be recovered. Also, if the employee fails to return the SIM card, then certain charges will be levied from the employee.
