Hi,

My name is Mamta, and I work as a Senior HR Executive in an organization. Currently, there is no separate HR department within the company, so I have been assigned a workspace among the production team. This arrangement has been causing some challenges as I find it difficult to focus and work effectively while sitting in close proximity to the production team. I am considering approaching my Head of Department (HOD) to discuss the possibility of establishing a dedicated HR department to better serve and support the team.

Could you please provide guidance on how I can address this issue effectively and what key points I should include in my justification for the request? I would appreciate your assistance in drafting a formal email outlining my proposal.

Thank you for your help.

Best regards,
Mamta

Dear Mamta, you may write that:

Subject: Request for Shifting the Location of HR Department

As you are well aware, the HR department is currently co-located with the production department. This email is regarding the proposed relocation of the HR department.

The HR department has a distinct identity for its office-centric activities. However, due to the hustle and bustle of production activities nearby, it loses its distinctiveness. Employees approaching the HR department to discuss certain issues do not feel entirely comfortable due to the exposure to production personnel. At times, even we within the HR department feel uneasy discussing certain matters.

In light of the above, I kindly request you to consider changing the location of the HR department. I recommend shifting it to ____________.

Thanks,
Mamta
