Dear Seniors, I have prepared the Job Description for the position of Executive - Stores. As I have limited knowledge about Competency Mapping, could you please help me prepare competency mapping for the attached job responsibilities?

Request for Assistance with KRA & KPI

Also, I request your assistance in preparing KRA (Key Result Area) and KPI (Key Performance Indicators).

JD is an extension of KRA/KPI (Balanced Scorecard); hence, first freeze the KRA weightage of each KRA. Below are the parameters for setting BSC:

1. The KRA minimum should be 7, and the maximum cannot go beyond 10.
2. The total of all KRA should be 100%.
3. Targets should be achievable.
4. In the case of Store Staff, try to keep measurable targets, e.g., Conversion Rate (Number of Footfalls/Number of Bills cut).

KRA for Any Retail Format

- Sales target Vs. Achievement
- Stock Rotation
- Product Availability
- Customer feedback
- Etc.

I have a few queries regarding the JD that you have prepared.

Point No. 7: Supplier Interaction

Point No. 7 states, "Material shortage intimation to Supplier as well as correction in invoice." Why would a stores executive interact directly with suppliers? Shouldn't this be handled by the Purchase Department?

Areas Not Addressed in the JD

a) Maintaining inventory accuracy
b) Fire and safety measures
c) Reducing human movement by arranging the store layout
d) Disposal of obsolete inventory (obsolete is different from scrap)
e) Broadly, the duties of stores professionals are classified under five heads: Receipt of Material, Inspection of Material, Issue of Material, Verification of Stores, and Materials Controls. Your JD lacks clarity on these five areas.

My intention in providing the above feedback is to assist you in improving the JD and not to criticize the work you have done. I am writing this as I frequently conduct training programs on "Stores Management" at the managerial level.
