Hello friends,

I am new to this site. Well, it's regarding my summer project. I have been given the work of internal audit of employee files, which involves verifying the presence of documents like CV, payslips, benefits, birth certificate, qualifications, work experience certificates, medical certificates, etc., of the employees.

I don't think this work can add any value to my summer project, nor can I make a report out of it. I have been given other projects too, but I guess I should drop this employee file audit work. Can it be useful in any way? If yes, what can I present in my report about it?

I think it's a good project, though it is difficult to put into words. There should be a lot of learning. You will see what sort of formats are there for various purposes and what things should be there in a particular document and all that. As far as making a project report goes, in your project report, you can first write what your project is all about, which all documents you audited, what was your learning, etc. I hope you have a format of a standard project report; if not, tell me.

Then, suppose you have audited CVs, you can make a section headed "CV" giving an intro about what CVs are, why they are used, what are the things that must be there in a CV, how it should be formatted, etc. Then you can put a few sample CVs and point out the good and bad points of an exceptional CV and an exceptionally bad CV. You can give suggestions in terms of, for example, does the sample CV have all the info that was required, etc.

This way, each document that you audit can be included. If you format it well, I think it will be an awesome project report and an even better PowerPoint presentation.

Don't run away from what you have got. You can do this today but not tomorrow when you join a company. Go for it and all the best. I am sure you can do it.

Please help me find the answer.

If someone wants to make a project on any topic, do they need some kind of NOC from the institute? If someone has already completed their MBA, can they still make projects?

I have noticed that regular students are allowed to do summer projects, but what about those students who are pursuing an MBA through Distance Learning? Are there any opportunities for those students?

First, as an HR student, nothing is going to waste. You can also learn a lot more from the given assignment. From an internal audit profile, you can learn about their wage salary structure, allowances, PF calculation, gratuity calculation, bonus calculation, and different types of leaves based on labor law. This will help you to analyze retention strategies and also aid in studying organizational climate.

In the future, if you are given a task on recruitment, you will have experience of such procedures. You can also analyze what type of qualifications are required for different job roles. Additionally, you can compare the basic differences between manufacturing industries and service industries.

Hello Nafeesa!

I am also a summer training student who had to undergo the same procedure in an MNC. They made me, along with one other trainee student, check the personal files of the newly appointed employees within one year (about 60 files). In that, we had to check their medical report with ECG, PF, PF transfer (Form 13), Gratuity, mark sheet, application for employment, interview assessment sheet, CV, Relieving letter from the past employer, and past salary slip. We had to make a list of the documents that were not there.

At the end of this, our guide asked us some questions like:

1) Why do we take a relieving letter?
2) About the past salary slip?

Although my answer was near to the questions but not the actual reasons, then they told the correct reasons behind them.

Thus, this led me to think about the importance of these documents and their uses to the company, and also what are the criteria that the interview panel checks and how the marks are given.

What I would like to suggest is that all these things are basics in HR, and we as trainees should know their importance and learn something from this kind of work. Always try to do the work keeping in mind that there is something to learn from it. 😊

Now, as far as your report is concerned, you can make a report on this also as learning undertaken. If you want to do some survey, then you must ask the concerned employee and take his permission.
