Hi Garima, the best solution to your problem can be implemented by your IT department. You can ask them to disable the use of these devices and also install software to prevent the use of unauthorized hardware with office computers.
It is not feasible to monitor every employee at all times, and a warning letter may not be effective in this situation.
Hope this helps.

Dear Garima,
Why roam around the bush? Why not follow a simple solution? Disable the pen drive utility in the PC itself! Doesn't it look simpler than issuing letters, policing afterwards, etc. Please call your PC administrator and disable it immediately!

Dear SK SINGH,
Thank you for providing a warning letter format.
Dear Garima,
I think before issuing a Warning Letter, you must specifically inform the employees about the matter.
I am modifying the warning letter to a CIRCULAR which can be displayed/circulated among employees before taking any disciplinary action.
No.

As per the company policy, employees are not allowed to carry pen drives or any storage devices within the premises.
Despite many reminders on the same, it has been noticed that employees still carry pen drives on the premises. This amounts to non-compliance with the Company Policy.
All employees are hereby warned that if any such incident occurs in the future, severe action will be taken against the offender(s), which could include immediate termination of services without any further warning or notice.
All employees are requested to note and comply.

Dear X,
As per the company policy, pen drives or any storage devices are not allowed to be carried on the premises. Despite knowing the policy and even after numerous reminders on the same, we still find you carrying a pen drive on the premises, which can be considered as negligence of the company policy. Your ignorance and inability to comply with the Company Policy leave us with no choice but to serve you with a final warning. If any such incident occurs in the future, severe action will be taken against you, including immediate termination of your services without any further warning.
Please acknowledge receipt of this letter by signing and returning the attached duplicate copy to us.

Dear Ms. Garima,
If your industry does not support blocking USB data drives, you can opt for software available in the market that keeps a log and tracks data transferred through USB drives. First, issue a general notice as drafted by Mr. Raj, followed by incident-specific personal memos, and then a final notice as drafted by Mr. Singh, along with appropriate punishment. Remember, if you initiate action, ensure it is completed.
Dear Mr. Anil Arora,
You have provided a valuable suggestion, but please pay attention to your language. Remember, you are not speaking to your girlfriend in person.

hi garima.. i don’t think warning letter or circular will work because the one who has to do it will use the time when you are not around..so disabling the usb port is the best idea..

Hi, Gramia, if you have installed Quick Heal Total Security on your PCs, then just go to options and disable the USB connectivity. No one will be able to connect the same. Even if anyone connects it, they will not be able to use/open/transfer data from the PCs.
