Greetings!

I have recently joined as an HR Executive in an IT company. I would like to know from all the seniors of this forum what details I should know about the company. What general knowledge should I have being the HR of the company?

Hi Pooja,

Congratulations on entering the HR sector.

Before implementing anything, first go through all the necessary details and familiarize yourself with them. This will help you communicate effectively with others. Key areas to focus on include:

1. Shift management of employees
2. Checking and updating personal files of each employee
3. ESI status
4. PF status
5. Attendance details
6. Leave status
7. Mode of salary payment
8. Working culture, etc.

Once you are familiar with these aspects, you can begin implementation by:

1. Creating an MIS in an Excel sheet
a. Prepare a database of each employee with all the necessary details
b. Calculate the attrition rate
c. List new joiners
d. Track resignations each month

2. Using the MIS, identify employees with birthdays in the current month and arrange a small celebratory meeting with a cake on the weekend.

3. Introduce an "Employee of the Month" award with the assistance of seniors. Present a certificate and, if possible, a memento to the chosen employee.

4. Generate a weekly attendance report to monitor punctuality and other attendance-related issues. Share this report with your seniors.

5. Prioritize completing any pending tasks related to ESI, PF, and other responsibilities within your profile.

From the very first month, engage with every employee and make them feel valued. Your efforts should demonstrate that you are working in their best interests.

I understand this message is quite lengthy. Please keep in touch and reply.

Hi Pooja,

Your query shows your enthusiasm for the new job.

As an HR Exec... I am not sure what exactly your profile is. But what I generally understand, it would be mainly recruitment and all the activities around it, i.e., maybe induction, exits, career planning of the new joinee, etc.

In the induction, you must have received enough information about the organization, its working, culture, values, how did it start, its growth, the management team, board of directors, board of advisors.

If you are in recruitment, then try to gather as much info about the company as possible. This will help you to answer the candidate's queries fluently and confidently. Learn the strong points about which you can talk easily to sell your company to the prospective candidate. Also, know the weaknesses for your information, so you do not promise anything to the candidate which you can't fulfill at a later stage.

If you have the permission to discuss the offer with the candidate, then understand the offer letter and the salary break-up of your org thoroughly so you don't have to go back and forth much with the candidate.

In your enthusiasm to start soon on your new job... don't just jump into it, but understand your profile well so you know what is expected of you, and if need be, spend a couple of days with your senior/reporting manager to understand the working of the org properly.

Whatever you do, always be optimistic and positive; this will take you places.

I hope this answers your query.

All the best,

Rupa.

Dear Rupa,

Thanks for the proper guidance. I am working as an Executive - HR where my profile is recruitment with a hint of other HR activities like joinings, inductions, PF, ESI. If you could advise on the proper and perfect induction that can be given to the new joiners. I have taken help from the senior members of this site but would like to be more precise in my work as I am asked to prepare a PowerPoint presentation for induction purposes.

Expecting the response.

Pooja

Hi, Pooja,

As you have joined as an HR executive, first of all, you must know the HR practices followed by your organization, then HR policies & strategies. First of all, understand all the concepts practically. Keep good communication track.
