- Passports
- Visa
- Ticketing
- Accommodation
- Food habits
- Clothes
- Venues
- Meeting timings
- Cultural issues
- Gifts
- Introduction of new members
- Personal belongings - camera, etc.
- Does their software and hardware compatible with what you have and carrying?
- Is it formal, casual, or informal? Prepare accordingly.
- Embassy contact details
- Law and order situation of that part of the world
- Your confidential documents and their custody
