Dear all,
I want to frame Rules for employees who use company's transport facility.
Also want to Frame rules for transport services provider that they need to follow while ferrying employees.
Please suggest the rules that you follow with regards to company transport facility.If any one of you have a sample please share it.

Dear seniors and fellow members,
I have prepared the following set of "Rules for employees while travrlling in Company Transport"
Request you to correct me, and if you have any further points which you think i can add, please share. It would be of great help to me in framing these rules. Please find the rules below:

· All details with regards to cab will be dealt with by admin person. Any change in contact details will be informed to employees by management from time to time.
· As a rule a male employee will be the first person to be picked up and the last person to be dropped in all the routes in which the company cabs operate.
· Company is not responsible for any loss or damage of personal belongings of employees while they are travelling in company provided cab. Employees are expected to be careful with regards to their personal belongings while using cab facility.
· All the employees are expected to carry their Id cards while travelling in company provided cabs for safety and security reasons.
· Employees should inform about change in pick up one day in advance to the concerned Office Administrator . Any deviation in this regard will be treated as breach of company rule and the company will not be responsible for the safety and pickup or drop of that employee for that particular day.
· Employees are expected to behave in a cordial manner with drivers but also should ensure not to get into any personal affiliation with the drivers.
· Employees are expected not to discuss any of their work/ Personal life while in the cab or with cab drivers.
· Employees are not allowed to change the route while commuting to and fro from office for safety and security reasons. Any deviation will be treated as violation of company rules and company will not be responsible for the safety of the employees in such case.
· Employees are expected to be on time for the pickup and should not delay the process of pickup by cabs as it would cause inconvenience to fellow employees in the cab and also to the productivity for that day.
· Any change in route as a result of strikes/ Bandhs/ Rasta Roko/ Road repair/ Vehicle repair etc, should be promptly informed to the concerned Admin In charge.
· Management will also inform all the employees of any change in route as a result of strikes/ Bandhs/ Rasta Roko/ Road repair/ Vehicle repair/ emergencies etc, at least one hour before pickup time.
· Employees are expected to maintain cleanliness with in the cab. They should not inflict any damage to company provided cabs.
· At any point of time employees should not get into personal arguments/ arguments/ scuffle with cabdrivers. Any Problem with respect to cabdriver should be informed to the admin In charge.

Any deviation will be treated as violation of company rules and company will not be responsible for the safety of the employees in such case.
Management has all the rights to change/ amend the above rules at their discretion and on par with government regulations and rules from time to time which will be communicated to employees.

You might also like to add the following:
1. The monthly deduction of Rs. X from the salary of the employee every month for those availing the facility
2. If an employee wishes to discontinue the service, it cannot be done in the middle of the year.
Usually in companies, the year is from January -- December. They must intimate the administration department before the 15th of December of the particular year.
3. If the person discontinues in between, the amount shall still be recovered from their salary till the end of december of the year.
4. Employees are expected to arrive about 10 minutes before their bus arrival time.
5. Bus shall not wait for any employee even if it is for a minute
6. The bus will leave the premises 15 minutes after the close of business hours. It shall not wait for anyone.
7. Last pick-up point will be the first drop-point.

How much the organization charge for each employee for using the transport facility? If it is an external transport agency hired by organization? Pl update. Thanks

Dear Vijaya pleas find enclosed attachment of the minimum documents which Admin personnel need to check periodically this is just few example documents it may vary state to state and corporate too
