Dear all,

I face the problem of writing the competencies or motivation statement as it is my first time. I really want this job. I have been working as an admin assistant almost 2 years and i found all the requirement is matched to me.

SUMMARY OF KEY DUTIES

Under the overall guidance of the project Chief Technical Advisor and under the direct supervision of the Programme Manager, the incumbent will undertake the duties mentioned below:

Undertake a variety of standard secretarial data management functions in support of the work of the office, i.e. typing a variety of correspondence, arranging appointments, etc.

Draft correspondence on routine matters.

Provide general secretarial and administrative support services for meetings, seminars and workshops.

Search information and relevant data upon requests.

Screen and route incoming correspondence.

Create and maintain office administrative files and official records.

Enter and maintain up-to-date database and calendar on training and advisor services.

Assist staff members and their dependents in protocol matters.

Prepare informal translations. May act as interpreter.

Keep contacts with a range of stakeholders, concerned ministries, international buyers, manufacturers, unions and NGOs.

Coordinate the financial matters with BFC finance unit.

Distribute related information materials to partners.

Assist in the BFC promotional activities in relation to training and advisory services.

Perform any other job-related duties as required.

EDUCATION AND EXPERIENCE

Completion of secondary school education, supplemented by technical skill and/or university level course in related fields.

At least three years of general clerical work experience, preferably with an international agency.

LANGUAGES

Excellent command of English and Khmer.

Knowledge of Chinese would be an important asset.

COMPETENCIES

Ability to use word processing software packages required by the office. May require demonstrated ability to type at the prescribed speed of the office. Proven typing abilities.

Knowledge of secretarial and administrative practices and procedures.

Knowledge of in-house procedures for the preparation of documents and of the procedures for creating and maintaining the file system.

Ability to draft correspondence.

Ability to reply in as appropriate manner to telephone and in-person inquiries.

Ability to obtain services from other work unites inside or outside the office for completion of tasks.

Ability to evaluate correspondence and inquires for best course of action.[/COLOR]

It is good that the prospective employer has clearly outlined the competencies that they are seeking. All you need to do is give examples of or demonstrate how you are already meeting those competencies in your current or past jobs.

My suggestion is that you put down the competency required followed by your comment / remark/ explanation. I am sharing 2 examples to help you understand my point.

Ability to reply in an appropriate manner to telephone and in-person inquiries

My immediate boss is on tour for almost 15 days a month and I attend to all inquiries in his absence. In case information has to sought from other departments, I coordinate/ source the information and revert to the client. In case I am unable to give a suitable reply I seek time and interact with my boss and take action as instructed by him/ her.

Ability to obtain services from other work units inside or outside the office for completion of tasks

In my current job each week I am required to collate the following reports by interaction with Sales/ Production / Accounts.Each month end I also prepare the mandatory submission to banks and tax authorities which are dispatched under my bosses signature.

I hope my examples above will enable you understand how to frame your response and submit the 1 page claim demonstrating your competence in meeting the clients specific competency listing.
