Respected seniors, my name is J. Raju. I am working for an organization that deals with agro products. This organization belongs to a group of companies, all of which operate in the same office building. The management and directors of all the companies are the same person. The company is looking to hire some operational staff who will work for all the companies.

Issuing Offer and Appointment Letters

So my question is, under which name should the offer letters and appointment letters be issued? Can we issue the letters under the name of the group of companies?

Regards,
J. Raju

Dear, You can issue letter on letter head of any of the group companies. just mention in job profile that the person needs to work for all other group of companies(names if companies.)

You can issue an appointment letter under the head group of companies. However, please mention that the employee has to work for all the companies (mention company names) to avoid any future claims from employees.

Thank you for replying. Our organization name is Amox Agro India Pvt Ltd. It belongs to the Amox Group. As per your suggestion, we can issue appointment letters on a letterhead that bears the Amox Group name.

First, could you please share something about yourself and your experience? What about your appointment letter and the information contained in this regard? You can refer to your own appointment letter for reference and further actions too.

Also, please let us know how many companies come under this group (say in numbers) and if the functional body and operations are the same, or like you said above, that the Management/Directors are the same. They may have departments (by category/product) located on different floors in a building but are part of a company, which is possible.

I feel you have just joined them, and maybe there is something you are still not aware of. Please correct me if I am wrong.

In answer to your query, yes, you certainly can go with a letterhead of “Amex Group,” which evidently represents all your companies. I hope that the letterhead contains information about all companies (name and address at the bottom or top) so that employees can recognize the company they are going to work with.

For example: If two companies “Arora & Arora Sons” and “Arora & Arora Associates” come under “ARORA & GROUP OF COMPANIES” and an employee is going to be appointed with “Arora & Arora Sons,” they can have the recognition and realization of employment with a Group of Companies. There is no confusion about it.

Thank you for replying. As you are asking about me, I have been working with this company for the past year. When I joined, it was a single organization, but it has since become a group of companies. There are now three companies under this group, with the same directors overseeing all three. All the companies operate in the same building on the same floor.

Now, please advise me on what to do?

Thank you.

It is a common query. Any letter issued from the side of the company should have a domain name of the company and the person concerned. However, in your case, mention the name of the person who represents the whole group of directors.

It's not important on which letterhead the appointment letter is issued, as I feel all the letterheads must have information like (ABC GROUP OF COMPANIES) below the company's name. The only important point is that you have to issue the appointment letter on the letterhead of the company from which you are going to pay the wages, etc. This is required to maintain proper financial accounts, as the expenses incurred on employees of other companies may not be appreciated by auditors or the IT department.

Job Profile and Responsibilities

The second point raised by you is on the job profile of the employee. You can address this by mentioning in the job responsibilities that the employee will be responsible for taking care of the (Marketing/HR or whatever specified job he is appointed) of the group companies. This is a normal practice, and there is nothing significant in this.

I hope this info is enough for your query.

With best wishes.
