Hi All, I am Sahan, an HR trainee at a local organization in Sri Lanka. These days, I have to conduct an HR audit in our company. It is a leading logistics company in our country. Therefore, I want to gather feedback from our employees regarding the HR Department. Are they achieving the expected outcomes from us? Are they satisfied with the services we provide? Similarly, I aim to assess the current situation of our HR Department, analyze any gaps, provide suggestions to the company, and implement new programs to bridge these gaps.

Request for Assistance in Developing a Questionnaire

It would be my pleasure if you all could assist me in developing this questionnaire. I believe your valuable ideas and thoughts will greatly help me. Our organization has more than 200 employees, and I seek feedback from both executive and operational levels, especially from the shared services departments. I eagerly await your input.

As an HR trainee conducting an audit in a leading logistics company in Sri Lanka, assessing employees' perceptions of the HR Department is crucial. To develop a comprehensive questionnaire, consider the following steps:

1. Identify Key Areas: Determine the key aspects you want to evaluate, such as communication, training, benefits, and overall satisfaction.

2. Design Clear Questions: Craft clear and concise questions that address each key area. For example, "Are you satisfied with the HR Department's responsiveness to your queries?"

3. Include a Mix of Question Types: Use a combination of multiple-choice, Likert scale, and open-ended questions to gather diverse feedback.

4. Ensure Anonymity: Assure employees that their responses will remain confidential to encourage honest feedback.

5. Pilot Test the Questionnaire: Before full implementation, pilot test the questionnaire with a small group to identify any ambiguities or issues.

6. Administer the Survey: Distribute the questionnaire to all employees, ensuring a high response rate for meaningful results.

7. Analyze Responses: Collate and analyze the feedback to identify trends, strengths, weaknesses, and areas for improvement.

8. Provide Recommendations: Based on the analysis, offer actionable recommendations to address gaps and enhance HR services.

9. Implement Changes: Work with HR and management to implement new programs or initiatives that align with the feedback received.

10. Monitor Progress: Continuously monitor the impact of the changes made and solicit feedback periodically to gauge improvements.

By following these steps, you can effectively assess employees' perceptions of the HR Department, identify areas for enhancement, and drive positive changes within the organization.
