Hello friends,

I am working in an educational institution, and there I have to write day-to-day reports and send a lot of emails on a daily basis to my head. Can anybody help me by providing samples of letters on a day-to-day basis?

There cannot be any universal and single format or sample letter that could be used as a model letter of correspondence.

Every organization has a way to handle administrative works, which includes reports and feedback from employees.

But some simple basics have to be followed necessarily irrespective of the size of the organization:

1. Be polite definitely if you are corresponding with your superior.
2. If the letter or email is to be sent to Director-level personnel, deal specifically with data and double-check the data or statistics before submitting to them. The reason is that if there is an error, their decision-making process will be delayed or faulted. They rely on the figures or inputs given by the people who execute their directives.
3. Always end with a positive note.
4. Wherever needed, offer solutions or recommendations.
5. Do not forget to be precise, however lengthy the context may be.
6. Somehow, the idea of addressing the superior by name has been accepted in our industries thanks to the MNC culture. At least where it is circulated to many people of different age groups and experience, address them by sir/madam.

In my experience, most of the so-called qualified people or managers do not have the drafting or reporting capabilities because they are habituated to using short or SMS language. A language or communication in a formal setup, especially in written form, will not be complete with shortened or cranky words with inappropriate grammar usage.
