Hi everybody,
I m given a task to draft a letter subjective to provide a company car to the employee, my question is that what will be the matters I have to include in this letter and what format could be the suitable format.
Please give me your valuable suggestion.

Hi
Your letter should make it very clear that the car is a valuable asset that belongs to the company. Whilst the company deems it necessary for the employee to have the use and benefit of the car; the employee has a duty of care of the car.
Therefore, your letter should include a list of do's and dont's; such as:
The employee is responsible for the scheduled maintenance timetable; keeping the vehicle clean at ALL times; weekly checks of tyre pressure; coolant levels; windscreen washer bottle kept topped up; minimum level of fuel in the tank at all times (particularly if the vehicle is diesel); etc. Also the procedure for dealing with and reporting, breakdowns, faults and accidents.
Two copies of the letter should be given to the employee one for retention and the other to be signed and dated and returned to you together with a copy of the Driving Licence.
The letter should be very clear and comprehensive.
