Hi Shankar,
In a formal resignation acceptance letter, one can simply mention in the following manner:
"Mr. 'name' working as 'designation' in our organization has resigned from his services on 'date'. His resignation has been accepted, and he shall be relieved from his duties on 'date', subject to clearance of all dues. :)

My query is, whether the letter should include DOJ as well. Regards, Shankar, HR- Reliance Comm. Navi Mumbai

Hi Shankar I don’t think you need not mention the DOJ coz in any case you would be giving a final relieving letter in which you would mention the DOJ. 8) Manasi
How can we differentiate between the letters like : - Resignation Acceptance Letter - Relieving Letter - Experience Letter Regards, Shankar

Hi there,
You need to know a few things in order to understand the difference between the following:
Resignation acceptance letter
Relieving letter
Experience letter
Resignation acceptance letter:
You need to mention the date when the person has resigned, the items (ID cards, uniform, manuals, stationery, etc.) that need to be handed over to the concerned superior, the name of the person to whom to hand over the pending work, and the last date of working.
Relieving letter:
Firstly, a relieving letter can only be issued when everything that the employee owes the company has been handed over. Secondly, the relieving letter will state that the person is being relieved on the last working day and when the Full and Final settlement will be processed.
Experience Letter:
This will include the duration for which the employee was associated with the company, the designation held by the employee at the time of separation, and any other information you would like to highlight regarding the person. Otherwise, conclude it with your best wishes for the employee's new endeavor.
I hope this helps.

Dear All,
Please let me know, after handing over the relieving letter to the employee, do we need any other document for his acceptance or a copy of the same signed by him, or do we not need to do any such formalities. Please guide me.

Hi Amit,
Thank you for your reply. I also wanted to know, do we have to retain the duplicate copy of the relieving letter signed by the employee, or is his resignation letter enough? I understand the formalities that need to be fulfilled but am unsure about this.

Hi Himani,
Actually, these are the processes involved in the completion of the resignation process.
First of all, the employee submits his resignation letter, whether he serves the notice period or not.
If he serves the notice period, then we pay him all his earned balance leaves. However, if he doesn't serve the notice period, we deduct the notice period amount from his payable salary and adjust it with his available earned leaves in his account.
Next, we conduct an exit interview with a questionnaire.
On his last working day, we provide him with the acceptance of resignation letter, relieving letter, and experience certificate. We keep a duly signed duplicate copy in his personal file.
He is then asked to clear his dues with the Accounts department after 7 days.
In the meantime, we prepare the Full & Final Settlement statement and forward it to the commercial/Accounts department.
Once the Accounts department clears the dues, the process is complete.
I hope this clarifies the resignation process, Full & Final Settlement, etc.
Regards,
Amit Seth.

If the employee gives his resignation after he resigns, what date should we mention in the acceptance letter as the relieving date? Suppose he didn't give one month's notice and absconded on 12.08.09, and submitted papers on 24.08.09, stating that the resignation takes effect from 13.08.09. So, which date do we need to mention as the relieving date in the acceptance letter?
