I am new to this forum. Let me introduce myself. I am Aruna working as an Executive - HR.

I wanted to know different formats with regard to the Relieving / Service letter. Please do send me the templates.

One more doubt is that in most of the companies, are we giving any Relieving / Service letter for the employee who served less than 5 months? Please revert on this with your supportive comments.

The following are the samples of relieving letters:

RELIEVING LETTER

This refers to your resignation letter dated ___________ wherein you have requested to be relieved from the services of the company at the earliest. Your resignation is hereby accepted, and you will be relieved from the services of the company with effect from the closing hours on _____________.

Your accounts, if any, will be settled as per the terms and conditions of your employment contract.

We wish you all the best in your future endeavors.

Sample 2:

Sub: Relieving / Experience Letter

Dear Mr. [Insert Name],

This is to certify that Mr. [Insert Name] was working with us in the position of [Insert Position] from [Insert Start Date] to [Insert End Date].

During his tenure with us, we have found him satisfactory.

We wish him all the best for future endeavors.

The format provided by Julie shall suffice your requirements. As for your query, "And one more doubt is that in most of the companies are we giving any Relieving/Service letter for the employee who served less than 5 months?" - Please note that it's the moral responsibility of the employer to provide the certificate of employment to the employee for the period he/she was employed.

Legally speaking, the law related to bonuses states that the employee is eligible for a bonus even if he/she has worked for 30 or more days. This can be interpreted in whichever way you see fit.

Hi Aruana,

I disagree a little with Julie and Ketan. After the acceptance of the resignation letter by the authority, the HR department issues a Resignation Acceptance Order to the employees and advises them to clear all dues from the concerned departments by the due date (relieving date). After clearing all dues from the concerned department, the final relieving letter is issued.

OFFICE ORDER

Mr. -------, Software Engineer, Staff No. 32243, stands relieved from the services of ... with effect from 3 November 2006 (AN).
