We are a mid-sized software development company with three project managers. Laptops have been issued to them. Our management requires a laptop usage agreement form to be signed by HR and the project managers. Could anyone help me in creating an agreement form for employees' laptop usage and handling?

What is your management expectation? Are they expecting that the project managers should use the laptop in a proper way where much of the expenditure is incurred on repairs and maintenance? After 3 or 5 years, do they want to give it to the employee at a nominal rate? Do they want the employee not to carry the laptop outside the premises or home, or do they want the company-related information/data not to be captured on the laptop, etc.

One thing you can do is obtain a receipt from all the project managers stating that they have received the laptop in good working condition. They will be using it in a professional manner, and repairs up to Rs. 500 will be borne by the employee. The laptop will not be used for purposes other than company-related tasks. The responsibility lies with the employee to return the laptop to the management in good working condition upon leaving the organization. In the event of damage, loss, or when requested by management, the employee shall be responsible for paying the assessed amount.
