I would appreciate it if someone could suggest the best way to maintain the resume database, preferably in an Excel sheet to facilitate tracking the right candidate for the job opening. What are the various parameters according to which the database can be sorted?

Hi,
If you know a little bit about database techniques, then you can use Microsoft Access for maintaining the resume database. There are already built-in databases that you can download directly and with a little modification and customization, you can use them for any purpose you want.

Thanks for the suggestion. In fact, thanks to all for the help extended. But I think there must be something better to maintain the database only. Maybe filtering in the Excel sheet or using MS Access. If I find something useful for all, I'll definitely revert.

The E-staff software that you suggested is indeed wonderful, very comprehensive, and very useful. But I want to know if you too are using it or if you know someone who's currently using it? My main concern is that the software is absolutely free to use. But is it expected that in a month or so, the software stops working and it prompts us to buy? If yes, how much does the software cost? For freeware, it is impossible to expect any support as well.
I would like to have the opinion, is it advisable to invest time & effort on freeware or not?

However, I'm quite eager to start maintaining the database on it, but I'm a little hesitant, as I mentioned earlier, because the software is downloaded for free and might cause some restrictions in the future. The software is Russian and costs around 25,000 INR for two users. I'll wait for your feedback as well.

I was going through this posting and thought to respond. I am working with a big consultancy firm in Delhi and we use "Recruit Plus - A product from ITCONS e-Solutions". Couple of things need to be kept in mind in deciding for an ATS are as follows:
1. Is there a need for an automated ATS (Applicant Tracking System)? Yes, it not only helps in organizing resumes, but a good ATS also helps in reducing the total time of searching and processing a resume.
2. If yes, what would be the salient features the industry would prefer? One should see if this helps in searching the resumes based on various search conditions like total experience, current company, designation, past company, salary, education, college name, location, etc., apart from a keyword search.
3. What are the common pain points for Recruitment and Staffing Companies? To extract data lying in emails, which is unused, and to quickly search for the right fitment from the database.
4. Would you prefer it to be on a subscription model or a one-time payment model? Since most companies offer ATS on both models, one has to consider the one-time purchase cost versus Total Cost of Ownership (TCO) in the monthly subscription model. In my opinion, if the company is small, say up to 5 users, they should opt for the monthly model.
5. What would be the price you would be willing to pay for both models? I have seen demos of all the good ATS in India; each one is priced based on the number of user licenses. Roughly, each user license costs between 7k to 15k.

Thank you, Sushil and Hemanta, for this really useful tool. I would like to add one more point regarding a candidate's job profile. In short, when a candidate's designation is HR Executive and their profile includes HR Generalist, recruiter, etc., it helps us screen the database more easily.

The tracker you made is fine, but what I feel is you can add some more information such as the candidate's notice period, reasons for leaving the present job, if there is any procedure like signing the agreement or bond, and so on can also be added (Status for signing bond).
