Dear Member,

I am looking for a mail format regarding the intimation of a departing employee among the company staff. I have prepared a draft below for any employee who has left the organization post complete handover and full and final settlement:

Draft for Departing Employee Notification

Dear LCEPL, Swastik Team, or Associates,

I hope you all are doing well. I am writing to inform you that [Employee's Name] is leaving the company on [Date]. Please direct all department questions to [Name] until we are able to secure a replacement. Once we hire a replacement for [Employee's Name]'s position, I will reach out again to inform you of our new recruit.

We are immensely grateful for all the contributions that [Employee's Name] has made during their time with LCEPL, Swastik team, or Associates. I speak for the entire company when I say, best wishes on their next venture.

Therefore, I inform you all not to share or communicate any business-related details with [Employee's Name].

Request for Draft for Incomplete Handover or Notice Period

However, I am seeking a draft for employees who have not completed their handover properly or will not be serving the notice period. Please suggest and help.

Thank you.

Dear Nikhil Bhosale,

You can use the following draft for employees who separate from the company without a proper handover process:

Separation from _________ without Proper Handing-over

Dear ___________,

This is to inform all the members of _______ (name of your company) that Mr./Ms./Mrs. ________ (name of the employee) working in the __________ department has stopped reporting for duties from ______ (date).

To maintain the continuity of the work, Mr./Ms./Mrs. _________ (name of the employee) has been instructed to take over the charge of their work. Since the email ID of Mr./Ms./Mrs. _________ (name of the absconding employee) has been disabled, all correspondence may be directed to him/her. His/her email ID is [Email Removed For Privacy Reasons].

If Mr./Ms./Mrs. _________ (name of the absconding employee) does not report for duties, the present arrangement will continue until further communication is issued. In the meantime, please identify whether Mr./Ms./Mrs. _________ has any outstanding items against your department. If he/she has separated without returning these items, please pass on this information to Mr./Ms./Mrs. ________ at his/her email ID [Email Removed For Privacy Reasons].

Forwarded for information and further necessary action.

Thanks and regards,

There is a possibility of the employee not completing the notice period but doing a proper handover. In that case, the normal letter will suffice the purpose. In fact, the draft of the letter that you have uploaded also needs improvement.

Thanks,

Dinesh Divekar
