Please share the business nature of your organization and other details. You can add more details like travel kit requisitions, extra reimbursement during international travel, and additional reimbursements for more than 15 days of continuous stay on-site. Consider including bags, blazers, and other travel-related items every three to five years with a lump sum amount.

Travel Reimbursement Scenarios

What if an employee stays at a relative's home instead of a hotel? Would there be a different package? What is the reimbursement timeframe, and how many days will your company reimburse the claim? What if there is no bill? What if the client was present with the employee? What if the place requires an overnight journey, and a senior is requesting flights only? What if a train or bus is not available for junior staff, and they need a flight due to an emergency? How many days in advance should a travel request be submitted to the help desk to avoid higher train/flight charges?

Approval and Authorization

What is the approval authorities matrix? How is authorization handled in the absence of the first line? Are there any tie-ups with hotels/resorts? Include all these aspects in the policy.

Policy FAQs

Prepare an FAQ for every policy so it can serve as an answer book. Many company policy booklets are more like question books than answer books, so prepare an FAQ to avoid confusion.

You can add many more elements depending on the future planning of your company. Consider previous ratios to represent how much burden the company will have with the new policy.
