Dear All,

I am currently facing an issue with the HR setup in our 10-year-old company. Recently, our mobile crane driver had an accident outside the company premises, leading to some problems. Fortunately, we have resolved the issues arising from the incident.

Looking ahead, if the vehicle needs to be moved outside of our usual operations, what steps should I take? Do I need any specific permissions, such as a gate pass? I am currently seeking approval from the Managing Director on this matter, but the process seems unstable. I would appreciate any advice you can provide.

Purpose and Use of the Vehicle/Crane

What is the purpose of the vehicle/crane? What was it purchased for? If the duty of the company requires it to go outside, it should be sent. Have a system of permissions to go outside the company.

Establishing Permissions and Duties

List out the nature of duties that are/can be done outside. Specify a designation that can approve outside trips.

Record Keeping and Compliance

Log books for places visited, purpose, duration, name of driver, distance covered, etc., can be recorded. Ensure proper insurance for the vehicle and driver with additional insurance for any authorized passenger who officially needs to accompany vehicles. Ensure any additional compliances for such vehicles from State RTO are always up to date.

Creating a Comprehensive SOP

Make a comprehensive SOP for the use of the crane.
