Dear Pooja,

What is the fleet size of the vehicles in your company? Does the movement of the vehicles take place only within the city, or do the vehicles go out of the city as well? What type of vehicles does your company have?

Irrespective of the replies to the above questions, the preparation of the SOPs for the Maintenance Department is the primary job of the HOD of that department. Being from the HR department, why have you been assigned to this task? Yes, you may assist that HOD, but this cannot be your primary activity.

Preparation of the SOPs is a long-drawn process. One needs to understand the types of vehicles used, the education and skill level of the technicians, whether they have understood the concept of first-line servicing and second-line servicing, etc. Even if you hire a technical consultant, it could take a few weeks for them to understand the systems and processes of the department, and they will be able to design SOPs thereafter.

Hi Dinesh,

Yes, you may assist that HOD, but this cannot be your primary activity. Yes, I agree, but there is no HOD for the maintenance department. So, my seniors gave this task to me, and I have to complete it. I don't have any idea about the SOP.

- Yes, the vehicles go outside as well.

What type of vehicles does your company have?
- Trailor, Tractor, Tempo

I need a simple format because the main issue is that maintenance bills and scrap material are not coming on time to the HR/Account department. Due to this reason, I need an SOP.

Dear Pooja,

After reading your replies, it can be deduced that you do not handle technical SOPs but the procedures to run the maintenance department. Therefore, you may suggest to your management to hire an external auditor who can set up proper procedures. The key aspects for the transport department in your company are:

a) Proper accounting of fuel consumption
b) Accurate calculation of the mileage for each vehicle
c) Maintaining proper records of spare parts consumption for each vehicle.

If the above records are not properly maintained, there is a risk of theft or pilferage occurring. Lastly, to effectively carry out this task, one needs to work in the transport department for at least a month or so. An external party may not be able to provide an off-the-shelf solution.
