Hi all,

One of my bosses asked me to draft a letter clearly stating that an employee needs to leave the organization within a month. This employee is not on the bench, and his services are active. Due to his presence, most of his team members are not working efficiently, leading management to decide to terminate his employment by providing a one-month notice period.

Please advise me on how to draft this letter and suggest any necessary clauses that should be included.

Dear Prasanna,

Rather than telling the employee to leave the organization, call him to your cabin, explain the circumstances of separation, and ask him to submit a letter of resignation. Of course, you need to fulfill the conditions of separation as per the terms mentioned in the appointment letter.

Asking a person to leave the organization for reasons other than performance may not be a wise decision. Leaders, who are the driving force behind remarkable changes, are not always in abundance. If some individuals are not performing well due to a shift in the working culture for the better, HR needs to analyze the situation.

Facilitating Communication to Resolve Workplace Challenges

If there are noticeable differences, HR should facilitate communication among team members to resolve issues. Simply removing a person is the easy way out. Those who are facing challenges in their work may have valuable suggestions to contribute towards moving forward. Not working is not the solution. Such patterns of behavior could persist endlessly. Today, they might not be productive, and tomorrow they might demand something different.
