Welcome Note

We are pleased to inform you all that Mr. ________________ has joined us today as (designation) in our (Unit/Head office - if you have multiple units and the Head office/registered office is different from the works/manufacturing area) and shall be reporting to _______________.

Mr.______________________ has completed his (Higher educational qualification) and is joining us with rich experience of (number of years) in (Department/Section). He has previously worked for companies like (Names of the companies worked earlier), and prior to joining us, he was associated with (Name of the Company).

Mr. _______________________ is married to Mrs.____________________ (her status if working details of the job/if not a homemaker, etc.) & blessed with (Names of children) and their present status. His hobbies are ---------------------------------.

I request you all to join me in welcoming Mr.------------------------- to (your company's name) family and wishing him all the very best in his new assignment.

With best wishes,

Name & designation of the signing authority.

The above communication should be forwarded across the organization and positively displayed on all notice boards. Basing on Corporate HR. In case the incumbent is in a senior-level position, then it could be the Director/MD, etc.

Induction Part

The induction part should be separated and forwarded to the authorities concerned but not to all.

You have made a good move. New employees generally become more motivated when they witness the efforts the company is putting into their induction. As previously pointed out by a knowledgeable member, it is advisable to keep the welcome note and induction schedule separate.

1) The language of the welcome note should be natural.

2) Avoid using flowery language but ensure there are no spelling errors.

3) Do not mention expectations in the welcome note. For instance, refrain from statements like, "To reduce backlog and improve efficiency of X department, we have recruited Mr. ......"

4) The language of the welcome note should have a motivational tone, as if we are welcoming a guest into our own home.

5) The induction schedule should specify the time the new employee needs to report for induction to a particular Head of Department (HOD).

6) Ensure that all notice boards and HODs receive this welcome note. Remember to include departments that provide services to employees, such as Transport and the canteen, to avoid any inconvenience to the new employee.

7) If you have a policy manual or safety manual, please provide a copy to the new employee before the induction process begins.
