Our organization recruits a large number of employees every month. Consequently, new registration of IP in ESIC is necessary for them each month. However, the issue lies in the fact that the entries must be done on the ESIC website one by one.
Could anyone provide a solution so that I can upload the data in a single batch, similar to how we submit monthly contributions when uploading the data?
Please help.

Dear Friend,
For new employee registration, you can only do it one by one as the ESI has to create their IP number individually and allocate their dispensaries like that. So, it will be better to find someone else who is confident and responsible in your office to do this data entry work if you do not have the time.

Bulk uploading of data can be done in ESI Portal for employees who already have insurance numbers. There is a provision for Excel download wherein you can fill up all the details as per the format and upload it. This will enable you to enter all the details in one shot.

Can anyone suggest how I can modify and convert them to uppercase? When I print out the contributions made for a particular month, it looks odd to see some names in uppercase and some in lowercase.

For bulk IP upload, go to "Insert IP Details" then click the insert button. There you will get a link for bulk IP upload format in Excel (up to 500 IPs). Use this, then go to update its details. There you fill the other required information.

- Click "INSERT BUTTON".
- Click "EXCEL TEMPLATE EXCEL" and then save the EXCEL sheet on your PC.
- Enter the data in (IP Number, Name, DOB, DOA, Gender) in the downloaded Excel sheet.
Instructions to Create Excel Sheet for Bulk IP Upload:
• Enter the 10-digit IP number, IP name, Date of Appointment, Date of Birth, and Gender.
• Excel sheet upload will be successful only if all the data is entered in the correct format. Use only the downloaded template for this activity.
• Kindly note that all columns should be in 'Text' or 'General' format, including date columns.
• Dates should be in either dd/mm/yyyy or dd.mm.yyyy format. For example, 14/04/2011 or 14.04.2011 is the correct format (14/04/2011 or 2-Apr-11 are not acceptable).
• The following figure shows a sample Excel format.
Click the Browse button and select the Excel file from your PC, then click the "UPLOAD" button. "IP INSERTED SUCCESSFULLY" message will display on the same screen.
Creating Excel Sheet for MC - Instructions:
Enter the IP number, IP name, No. of Days, Total Monthly Wages, Reason for 0 wages (If Wages '0') & Last Working Day (if the employee has left service, Retired, Out of coverage, Expired, Non-Implemented area, or Retrenchment. For other reasons, the last working day must be left BLANK).
Excel sheet upload will lead to a successful transaction only when all the Employees’ (who are currently mapped in the system) details are entered perfectly in the Excel sheet.
In case the IP Number is entered wrongly (less than 10 digits) – Excel upload will throw an error to modify the IP Number.
Calculations – IP Contribution and Employer contribution calculation will be automatically done by the system.
Reasons are assigned numeric codes.
Once 0 wages are given, the IP will be removed from the employer’s record. Subsequent months will not have this IP listed under the employer.
Note that all the columns, including the date column, should be in 'Text' format.
The date column format is dd/mm/yyyy or dd-mm-yyyy. Pad single-digit dates with 0. For example, 01/01/2011 or 01-JAN-201 is NOT acceptable. The correct format is 01/01/2011 or 01-01-2011.
Excel should be saved in .xls file type (Excel 97–2003).
