I am working with a small organization and have a total experience of 1.7 years. I joined the company in August 2012, and presently, my designation is Senior Executive Engineer. I have some confusion about the documents I received from my company:

Offer Letter Format

1) I received the offer letter on a normal printed page (not bond paper), not in a specified letterhead format. Whereas my friends from other companies received the same letter on a specified letterhead format of their company in a professional manner. However, in my company, there is no such system. They casually paste the company logo in a normal Microsoft Word document and type the subject and body of the letter, then sign it. They do not include any reference number in any official letter. It is very informal. Please let me know if there will be any problem in the future when I change my company to join a new company.

Increment Letter Process

2) Also, at the time of my increment, management did not give me a formal signed letter. I only received the increment letter via email on my company domain mail ID from management. Is this sufficient for document verification when joining another company?

Documents Required for New Organization

3) What documents should be submitted at the time of joining a new organization?

I request all to please post your valuable advice to clear my confusion.

Thank you.

Ideally, yes, offer increment letters should be given on a company's letterhead. However, if you are concerned, HR is approachable. Clarify this concern or doubt with them. You will probably get the right direction.

Your two questions are answered as follows:

Offer Letter Format

1. Not every organization issues the offer of appointment on bond paper. Therefore, the present letter you received is perfectly in order.

Increment Documentation

2. Regarding the increment, in today's pattern, a letter of increment is not typically issued. Instead, your salary is enhanced by the amount of the annual increment. In your case, your employer has posted the information on the company's mail ID, which should suffice. Please do not harbor a lack of confidence in your employer; having posted the communication on the mail, they will not shirk away from execution now or at any time later.
