If you want to implement a new format of an appointment letter, you have to analyze whether it's possible to provide it to everyone. This means determining how many employees you have.
If it's possible to provide the same, ask every employee to return their previous appointment letter. Then, prepare the new one and get it signed by the respective authority. Finally, return the new appointment letters to the employees.
