Hi, I don't have much exposure to PF transfer. I have joined a new company in Bangalore. Can anyone let me know, as an HR professional, what procedure I need to follow once I receive Form 13 from an employee?

Please be clear in your question. Has any employee joined your company and asked you to transfer their PF funds to their current account? Or, is it a former employee from your organization who wants to transfer their PF funds?

It is an employee's responsibility to transfer or withdraw the account, so the employee has to decide. Once the new PF number is allotted in the new office, only then can they apply for a transfer. I believe that after the completion of 45 days, they can apply. Along with the transfer form (Form 13), they will need Form 3A, Form 5 (declaration of joining), Form 10 (date of relieving) from the previous employer, and Form 5 from the present employer.

You should forward both forms to his previous employer. Along with the forms, the previous employer will enclose copies of Form 5 & 10, and Form 3A's will also be enclosed and forwarded to the PF office. For any clarifications, please contact me.

Dear Almas, there is no need to get confused. You should enclose a copy of Form 5 & 10, as well as Form 3A, from his/her previous employer. Will you be able to get those forms? If you send them to the previous employer, they will enclose those copies along with Form 13 in 2 sets, along with your covering letter. They will also enclose their covering letter for transferring PF funds to the new account. I hope you are clear.

Procedure for PF Transfer Using Form 13

If an employee resigns and intends to transfer the PF accumulation, he can do so by submitting an appropriate form, Form 13. His previous employment PF number must be specified in the form along with the current (new code number). The same has to be submitted to the PF office. After processing, PF authorities will intimate the current employer through a letter along with a copy to the individual member.

previous employer will not be involved. u can submit to new employer to submit in PF office. Or u can personally also submit in the PF office as per new PF employer. swarna

You can send it to either the PF office or the previous employer. It has to be brought to the notice of the PF commissioner. If you send it to the previous employer, they will proceed further. If you send it to the PF office, they will transfer your account to the new employer.

Once you receive a transfer request from your employee, you should send the Transfer In Form along with Form 5 to the employee's previous employer. The previous employer will send the same, enclosed with Form 5, 10, and 3A, to the regional PF department. The Previous Employer PF Department will transfer the PF amount to the Present Employer PF Account.

When a new employee wishes to transfer their provident fund (P.F.), you should ask them to submit Form 3A and Form 5/10 from their previous employer. Afterward, you need to fill out Transfer Form No. 13 with both the new and old P.F. numbers and submit it to the P.F. office where you usually submit your monthly challans. The P.F. office will then facilitate the transfer of the funds.
