Advice Needed: Handling Document Verification for Senior Sales Manager

Please advise on what should be done in a situation where a successful Senior Sales Manager, with over 15 years of experience, is not submitting his papers for verification. He has already been on the job for over three months and is drawing a salary. Management has been kept informed about this development, but it seems they are not particularly concerned as long as they are achieving results. What should be the role of HR?

Per se, this may not be the right or ideal suggestion, but practically, I don't see what you can do in the situation you mentioned. However, you definitely need to take a few steps: put the current scenario in writing to your boss or whoever you are interacting with at the higher level and also add a line asking for advice or direction for further action from your end to resolve the issue. To be doubly sure, send a couple of reminders for a reply—and stop there. If what you mentioned is factual, you may not get any response. Retain this correspondence carefully—just in case the management wakes up later and tries to implicate you for 'lack of action.' You will be saving your skin.

Dear friend, Your question is not clear. What papers do you require that he is not submitting? If I am not mistaken, you may be referring to his experience certificates/testimonials, etc. If that is the case, send an email to his head of the department with a copy to your head, stating that you have not received the required papers to date. Mention that if he does not submit them, you will stop his salary for this month.

They will either instruct him to submit the papers or provide you with clearance to stop the payment. By sending this communication, you fulfill your responsibility. Additionally, mention that this behavior amounts to indiscipline.

One point I do not understand is that typically, unless the new incumbent submits all necessary documents within a week, no appointment letter will be issued. Without submitting the acknowledged appointment letter copy, the finance department will not add his name to the payroll. Handle this case specifically, and it is advisable to implement a system where the appointment letter is not issued until all required papers are submitted, and the acknowledged copy is provided to finance/accounts before including the individual in the payroll.

This approach will bring you comfort in managing such issues.

1) 3 Months OVER

2) Why did you not collect the documents at the time of joining?

3) How many email communications have you sent to him regarding this matter?

4) What significant results is he delivering?

5) If the management does not show concern, you should not collect the documents of other employees either.

6) Send him an email specifying the deadline date.

7) In your communication, please mention that the documents are required to regularize the salary.

8) Send him a reminder email once every three days, copying his boss and your boss.

9) After 2-3 emails, copy accounts on the emails.

10) Advise stopping his salary payment - you may encounter issues, but a solution will be found.
