Hi all,

I would like to know how to proceed with an open house meeting. I need to understand how we (HR) can identify employees' talents and how to bring them to the attention of management. By talking to the employees or managers, will we be able to recognize employees' innovations, creativity, or improvisations? I am seeking suggestions from senior members on this matter.

Hello,

Firstly, inform everyone about the time and venue through a notice or email for a gathering of all employees, including staff and workers. In an open house, you can discuss your production targets, achievements, and the company's goals for the next month.

Identification of talent - Discuss with department heads to identify workers whose performance is outstanding (cost-cutting, innovations, best practices in Kaizen).

Appreciate their work and give them awards/appreciation certificates during the open house through your higher authority. This will boost the morale of the workers.

Open house, focus group meetings, and brown bags are excellent tools for communication. Please consider the following:

Prepare an outline for the event, including the emails that would be sent to the employees, duration, leaders who would be addressing, probable communication to be made through the PPT, and speech.

Identify a few concerns that are most likely to be discussed and questions to be raised. Prepare the PPT including them.

As you work towards the event, take the pulse by identifying the common concerns and issues among your employees. Try to gauge the average enthusiasm level.

Identify a few employees who are most likely to raise questions. It will help you prepare for the event.

If required, meet with the managers before the event and get their inputs on any suggestions to be made by them.

Email the employees clearly with the date, time, and venue. In case your employees work in shifts, arrange for a common time phase where employees from both shifts can attend.

Once the event starts, make sure you listen as much as you communicate.

Take note of the queries that need to be answered later. Respond as early as possible on this. It will help you build your credibility.

Once the event is over, collect feedback. Identify the relevant ones to be implemented and let the rest remain for future consideration.
