We have software for payroll, but is there any way wherein we can keep a record of leave taken by each and every employee? Like some 15 years ago (during my boss's working days), there used to be a system of card leave, wherein every employee used to mark their leave on that card, and it would be signed by their HOD and HR. This card would be with the employee itself. My boss wants something in the same way or any new way wherein the employee is aware of their balance leaves and has their records with themselves as well. Though we have a leave application form in which we have a column of the number of leaves remaining. Kindly let me know what are the other ways or any new way of keeping a record of leaves.

Please find attached the leave format, which can be used as a card form. You can print out the card form and have employees fill it out if they wish to apply for leave.

You can contact some BPO or IT company providing solutions for this. We have a system-generated leave application where the employee can view his leave record/balance. It works like a card itself but you don't have to keep a hard copy.

Thanks for the format. I would like to suggest one more thing - in the format, the total available leaves for the current year are not mentioned. It should be included so that both the employee and the employer may know the pending leaves available and how many leaves an employee may avail.

Leave Record System in Our Company
At our company, an employee fills out the leave form whenever they want to take leave. Every month, when we email them the payslips, we mention the balance of the available leaves. This way, the employee has a record of how much leave they can avail of for the month.
