Understanding Warning Letters
A warning letter is a cautionary advice about a lapse that has occurred. The gap between expected and actual performance needs to be mentioned in the warning letter. However, the question is whether the communication regarding the expected performance was issued to the retail manager, how it was issued, and when it was issued. On what grounds can the company issue a warning letter if the records of the communication are not maintained?
Purpose of Warnings
Warnings are given to provide an opportunity for the employee to improve their performance. However, if you wish to combine it with a notice period as well, does it mean that your company has decided to remove the retail manager?
Steps for Addressing Performance Issues
If you are certain that the retail manager cannot improve their performance, ask them to submit a letter of apology for not meeting the performance target. In the same letter, they should also provide assurance about meeting the performance target, failing which they will resign voluntarily. When the employee admits the lapse, taking action becomes easy for the company.
