How Can We Verify Our Sales Executive's Client Visits Without a Tracking System?

Hi all, we are a startup. The CEO is not ready to implement the tracking system as there are only 3 employees currently. We are an IT firm. We have sales executives who need to visit clients, introduce our product, and secure orders. We have doubts that he is deceiving us by claiming visits because sometimes he mentions using a shared cab but fails to provide actual receipts. How can we trust him when he goes for visits at least twice a week but doesn't generate invoices? Is there any other way to verify if he is being truthful?

Solutions for Tracking Sales Visits

The solutions could be as below:

1. Free apps are available for location tracking. You can instruct the salespersons to download the app. You can also download the same app to start tracking their movements.

2. Salespersons can be instructed to maintain a hard copy of the register. Whenever a salesperson visits the client's premises, they need to obtain the security seal and signature to create evidence of the visit.

Also, employees say they cannot ask for visiting cards as not all companies provide them.

We had a similar problem some time ago and tackled it by calling the client(s) and conducting a short "Quality Control" survey. Ask a few questions such as: Did the salesperson arrive on time? (use the salesperson's name) Was the salesperson appropriately dressed? Was the salesperson adequately knowledgeable? Do you feel the salesperson understood your business model? Were you satisfied with the salesperson's answers to your queries/concerns, etc.

This will give the client some comfort about your organization and allow you to build a senior-level rapport, particularly useful if the salesperson leaves and mitigates the possibility of the client following the salesperson. Be sure to give your name, number, and rank and encourage the client to call you in case of any issue. Finally, do not forget to thank the client for their time and response. To get the best results, this survey should be done with all clients at least twice a year.

Hi, the problem is that this person goes around giving knowledge about all the products we are selling, such as Briscad, Trimble, and SketchUp, and explains their features. Some people prefer to communicate via calls and do not entertain in-person visits due to COVID-19. He also mentions that visiting cards are not provided by each company. So, if he does not give visiting cards, how can we verify his visit, and will the company confirm that he was there for a visit?
