Employee Forgery: How Can We Prevent Fake Experience Letters in the Future?

Yamini Krishnasri
One of our employees engaged in forgery by creating a fake experience letter. Please advise on how we can prevent this from happening again in the future.

Thank you.

Dear Yamini, you have asked for the draft of the letter regarding the forgery of the experience letter. However, who exactly committed the forgery? Was it the ex-employee of your company or the employee who was recently employed? Secondly, please explain what you mean by "Please suggest what we can do to prevent this from happening in the future."

Thanks,

Forgery of an experience letter was done by one of our ex-employees. I am concerned about how to prevent such incidents from happening again. How can we avoid similar actions by other employees in the future?

Thank you.

If your ex-employee has forged the experience letter and it is discovered at a later stage, you may issue an office circular stating that you have recently discovered a case of falsification of the experience letter with your company's details. Forgery is a criminal offense, and whoever does it is liable for legal action. The issuance of the circular is expected to create deterrence.

However, the issuance of the circular also has limitations. This is because conscientious employees will not engage in forgery. On the contrary, unscrupulous employees will remain undeterred and will seek out new ways to commit forgery.

Thanks,

Recruitment Process and Reference Checking

Why wasn't this picked up when you did the referee and reference checking at recruitment?

Falsifying documents cannot and should not be condoned under any circumstances. However, the fault is with your organization on this occasion due to a failure in having a robust recruitment process in place to ensure things like this do not occur.

Improving Recruitment Processes

So, the simple solution to prevent a re-occurrence is to fix your recruitment process and train the staff involved in recruitment to ensure all candidates are thoroughly vetted before being offered a position.

I have been a member of CiteHR for many years now, and it never ceases to amaze me just how bad recruitment processes are in many companies. You will never get the right staff without a proper process in place.
