Seeking Help to Modernize Our Invoice Format: What Should Be Included for Domestic Customers?

Currently, we are making invoices using very old software that was used during the Excise Regime. It was useful at that time to maintain various registers. Now, I feel it's outdated, and I would like to create a new invoice format in Excel for easier maintenance and changes as needed.

Request for Invoice Format

Can anyone provide a format for invoicing domestic customers? What are the statutory notations that should be shown on the invoice, and what are the terms and conditions that I can include either on the front page or on the back side?

Though you have raised the query, you have not mentioned whether yours is a B2B or B2C business, what is the nature of your industry, and what is your finished product.

B2B Invoicing Practices

If it is B2B, then it is customary to mention all the terms and conditions in the quotation itself. When the negotiations with the client take place, either the revised quotation is sent, or the client sends the Purchase Order (PO) which includes the negotiated terms and conditions as well. Under such circumstances, invoices need not have any additional information other than the GST number.

General Invoice Information

Generally, in most invoices, a GST number is included. Additionally, when we buy a product from roadside shops, we find the usual term "Goods once sold will not be taken back."

Thank you for the reply. We are a manufacturer, so I think it comes under B2B as we make certain custom-made items for OEMs as per their specifications.

You are right that terms and conditions should be part of the quotation and PO, but if there are any terms which we can put on the invoice other than statutory requirements, please let me know.

Also, let me know if there are any good invoice formats available which we can modify as per our needs.

Dear HBJ, if you are in the B2B business and are manufacturing a material used by OEMs, then you must be purchasing the raw material. You may check the invoices of your suppliers and design your own. Nevertheless, you may go through the following links:
