Ex-Employee Wants a Duplicate Offer Letter: Is It Safe to Provide One?

One of our ex-employees is asking for a copy of his offer letter as he misplaced it. Is it fine if we issue the same? Are there any chances of misusing this? Please guide me.

Hi,

It has happened in my company so many times. Definitely, as an employer, we need to give duplicate copies of the Offer Letter and Relieving Letter to ex-employees. The only case that I have always refused to give is a duplicate copy of the Salary Certificate (of an older period). There can be a chance of misusing it.

There is nothing wrong in issuing a Xerox copy of the offer letter to the ex-employee. If needed, you may place a seal stating "duplicate copy."
