Employee Privacy Concern: Should HR CC Managers on Payslip Emails?

Hi,

The delivery manager in our company wants him to be marked CC when sending payslips to his team. My question is, can HR share employees' payslips with their managers? I think it violates employee privacy! Kindly let me know your thoughts on this.

Dear Kar, yes, salary and wages need to be kept confidential, and no matter how senior a person may be, they do not need to know the salary details of any employees. Exceptions are persons working in the Accounts Department, Audit Department, or the MD himself.

I do not know how you have communicated with the Delivery Manager. Although this particular demand of his is unreasonable, if he is a level-headed person, then tell him to obtain permission from the MD to have a CC of the monthly payslip email. Let him obtain proper authorization.

Alternatively, you may seek permission from the MD. To do so, send him an email regarding the delivery manager's requirement. If he gives authorization, then the matter closes there.

Dear Friend,

The salary slip of one cannot be shared with others. Today, X manager is asking, and tomorrow, ABCD managers will ask you to provide the details of their team members. Would you fall into their void, pray? There are exceptions; some personnel just come to know of it by virtue of their professional nature while discharging the responsibility.

You should discuss the matter with your CEO to resolve the issue.

In principle, the delivery manager should have access to the pay data of his reportees. However, sending him the pay slip every month, even if it is a soft copy, seems to be unreasonable. He can refer to it as needed with HR, but what use is he going to make of having it every month, except to clutter his inbox.

To understand the P&L, the delivery manager can request the total wages disbursed for the month for his team instead of individual payslips. Every month, the finance department circulates the MIS (cost center report) to all department heads for reference and to check for any cost overruns.
