Senior Employee Resigned Without Notice: Should I Send a Termination or Relieving Email?

One of our senior employees has sent a resignation email and didn't turn up for work. As per our policy, the notice period is two months.

Do I need to send a termination email (mentioning her last date) or do I need to send her a relieving email? Is an email alone sufficient, or do I need to send a hard copy? Kindly advise me.

As per your company policy, if any employee wants to leave the company, they must serve the notice period. However, if any employee wants to leave or has left the company beyond the said policy, they are considered to have absconded. In your case, your employee wrote an email about their resignation and expressed a lack of interest in working during the notice period. I advise you to compose an email following the policy guidelines and also send a registered letter to their home address. This will serve as documentation and can be used as evidence of their absence during the notice period in the future. If your company management approves the release of the documents, please proceed with the necessary actions either now or later.

What are the terms and conditions as per the job offer? Ask the employee officially to rejoin and serve the notice period, hand over, and then move on. In case the employee fails to report back, the company needs to take action of terminating her following due procedure. A senior employee should have shown greater maturity and followed the procedure to exit.
