New to HR? What Statutory Documents Should You Keep for New Employees and Why?

Working as an Executive HR in a Builders company, since I am a fresher and there is no person to guide me about the Statutory things, please help me out by suggesting what all Statutory documents we need to maintain when an employee joins newly to the company and why?

Dear Vinu, I can see that you are also a fresher. It's a construction company, not a builder's company. You didn't mention what compliance they are expecting you to handle.

Joining Formalities

As far as joining formalities are concerned, you should complete KYC, qualification records, previous company's certificates, etc.

Importance of Record-Keeping

The answer to your question "why" is: It's called record-keeping, and maintaining personnel files is one of your KRAs as an HR. Don't worry; you will learn the rest with time. Also, we are here if you get stuck.

Could you please specify for which category of employee you need information? Is it for the employees (Staff, Executive, & Manager) of the company or others? The registers to be maintained include the Workman Register, Adult Register, Attendance Register, Registers for EPF, Registers for ESI, Leave Register, Wages Register, and OT Registers. These registers must be maintained in accordance with the registration of establishments (factory, contractors, shops, and commercial establishments). You are required to follow the rules pertaining to these registers, for which the proforma is provided. By referring to the rules, you will gradually understand the necessary procedures.
