Yours appears to be a company from the hospitality industry. If you want a warning letter to be issued for the violation of the laid process, first enumerate what the process is. Then, write the specific instance, i.e., date and time of the default, and how the procedure was violated. Later, give the warning.

Nevertheless, this appears to be a serious matter. Serving food to the guests without uploading the software is bypassing the system. How was the lapse discovered? The value of the transaction could be small, but the lapse casts light on the integrity of the person. Issuing a warning letter is as good as condoning the lapse that could have deprived revenue from your organization. Therefore, you may review your decision to issue a warning letter.

The advice of Mr. Dinesh was absolutely spot on as the kind of act indicated a lack of integrity. It is not the amount he pocketed that matters now, but the tendency and attitude. Copies of several types of warning letters are available on the net, but issuing a warning is a form of condonation for the offense.

This is an integrity issue, and such cases must be handled with an iron fist. If you have incontrovertible evidence, proceed with the domestic inquiry and get rid of such characters. The matter is related to the integrity of the employee as he has tried to deceive the system by not uploading the items and pocketing the sale proceeds.

Also, the employer needs to find out how coffee was issued from the kitchen without any demand coming through the system. There seems to be some laxity, so the employer needs to check if there is any larger pilferage occurring.
