Steps taken towards avoiding any untoward instances - taking employees for tour

I have been taking my employees for tours and trips and we have also planned many in future as an team building activity. My board wants me to form a policy to make sure that we are ready enough to face the law in case of any untoward instances. please help me with your thoughts regarding the same.

All tours and trips need proper planning-written directions to organisers.
Place of visit to be carefully chosen.
Ensure no alcohol is taken with the group or consumed.
Organisers should not think they also are on relaxed tour and be alert to any type of danger.
Ensure vehicle carrying participants is not driven rashly or over loaded and is road worthy in all respects.
Maintain strict control on members wandering off for selfies and own adventure.
Give full briefing at beginning of journey about dos and donts.
Do not go to places which are dangerous-like lakes or river side.
Do not permit members to try and swim or enter water bodies as they may be in happy mood and tend to get excited in company.
Organisers should always have prior visit to selected site for a general look at the place of visit.
Keep a well stocked first aid box in vehicle.
Ensure that you do not litter the place of visit by carrying waste bins with you.
Many a time untoward incidents have taken place on tours due to negligence of organisers and overexuberance of members.
So one needs to be careful and think ahead for any likely issues.

This in addition to what senior member Mr Nathrao has written.
For the team building activities, tell the members to wear sports shoes. Secondly, they may wear casuals but there is possibility of getting their clothes soiled therefore, they may not wear branded costumes. I say so because, once I was the trainer for outbound training. Occasionally, I found that few members shied away from participating because they felt that their costly T shirt or bermuda or even shoes costing Rs 5,000/- could get soiled. Secondly, tell women staff members not to wear high-heel footwear. No staff member should wear tight-fitting clothes.
In the outbound team building games, there is possibility of someone falling and hurting himself/herself. However, staff members should take their fall sportingly and they should not blame the trainer for causing them injuries.
In the team building games, people go little overboard and sometimes they pass caustic remarks against their colleagues. This in turn sows seeds of discord. Therefore, staff members should maintain decorum.
One more important point is carrying cash and valuables. Women staff members may wear jewellery as minimum as possible. In case if they bring the jewellery, then preferably it should be kept in the room itself. However, for the safety of the jewellery pieces, the individual is responsible.
Last but not the least, since you are making policy, then it merits inclusion on measurement of ROI on such activities as well. In many companies the spirit of the teamwork wears off just after few days or weeks after the outbound event. Therefore, one should be well clear who will measure ROI, how will it be measured and when it will be measured.

On the very valid topic of ROI, include a theme for the outing.
Every such activity involves money, so measuring returns is a good way of ensuring returns and happiness also.
If accidents are happening on shop floor , try to incorporate safety at work place as a theme.
See whether team building has resulted in better understanding and output on the work front over a period of time.
also for better results, such team building activities must be repeated and not a one off exercise.
Probably instead of ROI look at KPI(Key performance indicators) before and after team building activities

On the subject matter our collegue Mr Divekar & Mr Nathrao have already given their valued tips to your querry. They have also advised to calculate the tangible or intangible gain of mangaement on its investment.
In this context one thing I can suggest that your management should take a bond from each employee want to go for trips. This "Tour & Trips is nothing but opted by him by knowing all risk & threats associated. He and his family mebers would not held management responsible for any uncertainity caused to them during the tour, which is beyond the contorl of the management.

Above all, it is better to cover any eventualities, take an insurance for the group, for the specific period of outing. Include this cost to on training cost.
