How to Handle Employees Not Returning Laptops Before Final Settlement?

Hi Friends,

We have issued laptops to our Business Development executives. However, some of them are not returning the laptops when they resign. Instead, they request the release of their FnF (Full and Final settlement) before returning the laptops. The company cannot release their FnF until they complete their exit formalities, which is causing a lot of problems.

Please suggest how to handle this situation or any other precautionary measures.

Thank you for your valuable reply. To date, we have not held employees' salaries or made them run around the office. Personally, I call the resigned employee and speak with them in a polite manner to explain the process. Once an employee resigns and completes their exit formalities, we will process their FnF within 15 days. However, I am still unable to determine the reason why an employee would choose to do this. Please suggest.

If you are clearing their dues within the defined time frame and they are still retaining the laptop, then there must be some other reason. What about their petrol allowance? What about their sales incentive? Are these paid timely, or is there an inordinate delay in the payment?

As written in the previous reply, the major cause is a trust deficit, and you need to find out the causes of it. Talk to them and find out why they feel the need to retain the laptop. The retention of the laptop is not an isolated case, but there is a pattern to it. You need to identify the cause of the pattern.

All their incentives, salaries, reimbursements, and allowances are paid on time without fail. Thanks for the suggestion. I will start working on finding out the reason.
