How Should We Format Automated Leave Application Emails in Our New HR Software?

We will start using HR software soon in our organization. What should be the format of the automated email that will be sent to the employees when they apply for any leave? The copies of the automated email will be sent to HR, his/her immediate supervisor, and the employee themselves.

There must always be two-way communication. If a person applies for leave, an automated leave request should be sent to the concerned line manager/section in charge, HR, and approving authority. Upon approval or rejection, the same information must be communicated to the applicant, line manager, and HR.

Additionally, biometric attendance can be implemented, which can be used for payroll preparation. In cases of absence, non-punch, or mis-punch, the respective person should be informed on a monthly basis. The power to regularize such occurrences must be given to HR after due verification.

The format could be as follows:

Employee Name & details
Type of Leave
No. of days of leave
Leave from
Leave up to
Whether availing LTA/Leave encashment

Finally, include the portal address from where the mail was triggered.
