Need Help Drafting a Termination Letter for Part-Time Consultant Switching to Full-Time

Dear All,

I am working in an NGO and wanted a sample of a consultancy contract termination letter. We have a part-time consultant working with us, and now she will join as a full-time consultant with us. Hence, I want to cancel her part-time consultancy contract and issue a new contract for full-time. Can anybody help me with a draft at least so that we can work around it?

First and foremost, the subject heading of your post, "Termination Letter," is incorrect. It is not termination per se; therefore, I have changed the subject heading. Did you enter into a contract agreement when you took the consultant on board for part-time consultancy? If yes, why not make amendments to the existing contract?

To provide the draft, we need to know the terms and conditions of the contract. Therefore, in whatever format, you may upload the draft, and some senior may correct it. While drafting, you may include the following points:

- Quantum of work that the consultant is supposed to do in a given span of time
- Quality of work
- Process for the payment of consultancy charges
- Penalties for delay or failure in delivery
- Bonus or incentive of any kind
- Validity of the contract period, notice period for breaking the contract, etc.
- Whether sub-contracting is permissible? If yes, then what are the conditions?
- Conditions for maintaining confidentiality (clause on non-disclosure)
- Facilities that the company will provide or not provide to the consultant
- Code of conduct applicable to the consultant that is normally applicable to the employees of your company

The points are not in order. You need to make a proper order.

Thank you for your reply and for correcting the wrong subject into the correct one. I would like to share with you that this consultant was hired for a specific project, but we no longer require her services for that particular project. Therefore, we need to terminate the consultancy contract. However, we have another project where we would like this consultant to continue working with us.

I apologize, but I am unable to provide many of the details you need to prepare the draft. I simply need assistance with the language to be used in the termination letter, where we inform the consultant that they will be transitioning to a different project moving forward.
