Obtain the forms you need from your human resources department and notify employees about a month in advance that you will conduct appraisals in the coming month. Disperse the evaluation form so employees know exactly what the review will be based on. If your company requires employees to fill out self-assessment forms, distribute them and set a cut-off date for when employees must return them to you.
Aligning the Evaluation Process
Try to align the evaluation process with the organization's standardized procedures, meaning each employee's job description will explain the attributes or skills they have performed, are performing, and need to perform in the future. Save valuable time and conduct the evaluation process honestly. Utilize the comments section of the evaluation form to provide examples that support the scores you assign.
Conducting Private Meetings
Schedule a private meeting with each employee to discuss their grades. Review each evaluation point thoroughly and ensure you can explain and sign the form in the presence of the employee. Have the employee also sign the form as an acknowledgment that they understand and accept the content. Make a copy for the employee and one for their personnel file in HR reference.
