Mobile Phone Policy: How Should We Handle Costs and Reimbursements?

I would like to request the policy for mobile phones and mobile phone bills. We have recently set the price for a mobile phone at Rs. 4,500/-. Please take the necessary action accordingly.

It is purely at the discretion of the management to set the cap and provide mobiles to employees. However, certain broad guidelines will be established. Therefore, our HR members here may not provide exact information on this. I recommend gathering information from different companies individually and then formulating broad guidelines.

If you want to introduce a Telephone Policy in your company, first, you need to create a draft clearly stating the Bands and their limits. It should be based on designation and salary. For example:

S.No | Telephone Band | Telephone Amount Limit
--- | --- | ---
1 | TA | Rs.100/- per month
2 | TB | Rs.200/- per month
3 | TC | Rs.500/- per month

The mobile phone policy is purely at the company's discretion. Some companies even include this as a part of CTC. Some companies outline this privilege based on the type of business function an employee is in, where the designation or levels are not considered. This is basically to address business needs.

The amounts are usually fixed based on the designation. Again, the cost of the device could be borne by the individual with prior approval of their Business Unit, and the same could be expensed, and so forth.

Overall, the company has to formulate the policy first to avoid any ambiguity.
