PF Inspection...

Dear All,
We have PF Inspection in forthcoming month, just want to know that what are the documents/records need be ready from contractor side and principal employer side?

Dear sandee
you need to update your Monthly PF challans file ( challan,+ statement) monthly Sequence wise , yearly Statements,Attendance records for past 2 years .
and make simple year wise statements & year wise statements of your PF Amount Deposits ( No of Employees , amount Deposited.) .

Dear,
You should having all Monthly challans i.e. PF challans, Form no. 5 & 10, form no. 2, Annual return 3A & 6A, Salary Register, They can also ask for showing ledger account of your company so you should having at that time, PF inspection book etc.

you can also provide...at the time of Inspection...
1) PF Registration No.
2) Paid Challans (Month Wise)
3) Form - 5 (Additions)
4) Form-10 (deletions)
5) Form -9 (register employee)
6) Form -2 (If available)
7) Form -12A (with Challans submition in the bank)
8) Form -3A (Contribution of Employee)
9) Form -6A (Annual Returns of PF from Employer)
If any other documents of PF dept.

Dear Sandeep
From Principal Employer side, they may ask the details of running bill-wise payment made to the contractors and it will be matched with the salary register of the contractors. If the difference is within 25% then they will not ask much questions in case of Labour Supply contractors and in case of the contractors working with material, then that cost also will be added and maximum of 35 to 40% may be considered as wages/salary for workers. So accordingly you can keep your records ready.

wage record till last pf inspection done (if any) or from the company started date.
Complete monthly returens for pf
complete annual return for pf (if any)
balance sheet
muster roll
p/c of pf challans
cash book
register of advance
etc.

Pf Inspector may Ask below things:-
1.       Attendance register for the period from Starting of PF Remittance year till 02/2011.
2.       Wages Registers from the same period
3.       First Cash book / First bill book
4.       Current Cash book and ledger
5.       Audited B/ Sheet s from Starting of PF Remittance year to 2010-11
6.       Income tax assessment returns  
7.       Office copies of Returns in 12,10, 5 & 5A
8.       Declaration in Form No. 11
9.       Receipts of Pf challans as your copies
10. PF Inspection Book purchase from stationary book shop
11. Annual returns of all years till submitted in Pf Office
12 If available Nomination Form-2(Declaration of employees)
13. Muster Registers from the same period
14. Salary statements from beginning(do not include substaff)
