Hi AVS,

An urgent help is needed. I wanted to read some guidelines to set up a small library in my org. Also, to establish rules on the issuance of books and procedures for lost books. If you could assist me in creating this or provide any relevant links for me to review, as I need to complete this task today.

Additionally, please advise me on how to label books with an identification number.

Dear Shalini,

You must create an 11-character alphanumeric code for all the books. The first 3 alphabets will denote your office and its location identity. The following 2 digits (4th & 5th) will represent the subject of the books, such as 10- English, 11- Economics, 12- Econometrics, 13- Ergonomics, 14- History, 15- Politics, 16- Law, 17- Commerce, 18- Accounts, 19- Hindi, 20- Urdu, 21- Statistics, 22- Geology, 23- Management, etc. The 6th digit will be the Sub-Title, for example, ABC-10-1 - Grammar, ABC-10-2 - Literature, ABC-10-3 - Poetry, ABC-10-4 - Fiction, ABC-10-5 - Dramas, ABC-11-1 - Principles of Economics, ABC-11-2 - Microeconomics, ABC-11-3 - Developmental Economics, etc. The last 5 digits will represent the name of the book, such as ABC-10-1-11111 - Wren & Martin Grammar Book, ABC-10-1-11112 - Simple English Grammar, etc.

After creating the alphanumeric codes, you can enter the book details into the system using Foxpro/Database or an Excel sheet. Additionally, you can create another Foxpro/DBase file containing the details of library members. Each member can be allocated a unique alphanumeric code with 6 digits, using the first alphabet of their name and the remaining five digits as a serial number. This file can be linked to facilitate the issuance register, automated reminders for return dates, and potentially SMS alerts for book returns.

By thinking proactively, you can innovate and implement improvements within your field.

Dear Shalini,

You can plan a good reading room where the readers/referrers should maintain silence.

Whoever wants to borrow books must submit them to the librarian and get them endorsed in the system and/or in the concerned register. The books should be returned within 3/7/14 days based on the availability of books and the members' interest in the book.

They should not damage the books they borrow. In case of any damage, the member has to bear 25% to 50% of the book's cost as a fine.

In the event of loss, the member must pay the cost + Rs.50 or double the cost of the book, considering that the cost of replenishing the book is higher.

You can impose restrictions on reference books and provide instructions that they should not be taken out of the library; they should be referred to within the library itself.

If there is any contradiction in the rules, the library management's decision will be final.
